An invoice missing one line is not an invoice

A tax invoice is a legal document. Leave the ABN off and your customer cannot claim the GST credit, so their bookkeeper sends it back. Call it a tax invoice when you are not registered for GST and you have claimed tax you never charged. Go over $1,000 without naming the buyer and it fails the test at exactly the size of job where the money matters.

None of that is hard. It is just eight things, and the ute is a bad place to remember eight things. So the tool holds the list, and tells you what is still missing before it lets you print.

Marked as a tax invoice

The words have to be on it. We put them at the top.

Your business name

Exactly as your customer would recognise it.

Your ABN

Checked against the ABR check digit as you type. A wrong ABN voids it.

Date of issue

Not the date of the job. The date you raised the invoice.

What you did, and the price

Description, quantity or hours, unit price, line total.

The GST amount

Shown separately, or the words 'Total price includes GST'.

Which lines are taxable

Only matters when you mix taxable and GST-free work. Handled per line.

The buyer, at $1,000 and over

Their name or ABN becomes mandatory. The tool warns you at the threshold.

Requirements taken from the ATO's Tax invoices guidance. General information, not tax advice. Your accountant knows your situation.

Questions

What has to be on an Australian tax invoice?

For a sale under $1,000 the ATO requires seven things: that the document is intended to be a tax invoice, the seller's identity, the seller's ABN, the date it was issued, a brief description of what was sold including quantity and price, the GST amount payable (shown separately, or as the words 'Total price includes GST' when GST is exactly one eleventh of the total), and the extent to which each sale is taxable. At $1,000 or more you must also show the buyer's identity or ABN. This generator fills all of them in and tells you when the $1,000 threshold has been crossed.

I'm not registered for GST. Can I still send a tax invoice?

No, and this is the mistake that gets tradies in trouble. If you are under the $75,000 turnover threshold and not registered, you cannot charge GST and you cannot issue a document called a tax invoice. You issue a plain invoice with no GST on it. Untick the GST box and this tool relabels the document, drops the GST line, and prints 'No GST has been charged' so your customer knows not to claim a credit they are not entitled to.

How much GST do I add?

GST is 10% on top of your ex-GST price, which means GST is one eleventh of the final total. On a $500 job you add $50 and the customer pays $550. Enter your prices excluding GST and the tool does the rest, rounding to the nearest cent the way the ATO's total invoice rule requires. If some lines are GST-free, untick GST on those lines and the invoice will mark each line so the split is clear.

Do I have to give a customer an invoice if they ask?

If a customer asks for a tax invoice you must provide one within 28 days, unless the sale is $82.50 including GST or less. That is a legal obligation, not a courtesy. Most disputes about payment start with a customer who never got a proper invoice with an ABN on it.

Is this actually free, and where does my data go?

Free, and nowhere. The whole thing runs in your browser, so nothing is sent to us and there is no email gate. Your business name, ABN and bank details are saved on your own device so the next invoice takes fifteen seconds, and the invoice number ticks up on its own. Clear your browser data and it forgets.

What if I'm sending invoices every week?

Then a template stops being the answer, because the real work is not typing the invoice, it is remembering who has not paid. BackOnTools invoices straight off the finished job, takes card payments on the link, and chases the late ones for you without you writing the awkward text. This generator is the free version of the first ten seconds of that.

The invoice is the easy part

The hard part is the four that went out last month and never came back. BackOnTools raises the invoice off the finished job, takes the card payment on the link, chases the late ones politely so you do not have to, and answers your phone while you are on the tools.
